This explains what personal information Fielda-AI collects, why we collect it, who we share it with and what your rights are. We have tried to keep it short and in plain English.

Who we are

Fielda-AI is the trading name of Ben Agyekum, a sole trader based in England, UK. We set up AI automations (phone receptionists, missed-call texts, reminders, WhatsApp assistants and similar) for small businesses. For the information described below, we are the "controller", which means we decide how and why it is used.

Contact us at [email protected] for anything about your data.

What we collect and why

Our website contact form. If you fill in the form we receive your name, email address and type of business. We use it to reply to you and arrange a demo. We process this because it is in our legitimate interests to respond to people who contact us. Form submissions are delivered to us by a form service (Web3Forms) and logged in a Google Sheet.

The Fielda-AI WhatsApp assistant. If you message our WhatsApp number we receive your phone number and the messages you send. Replies are written by an AI (Anthropic's Claude), so your messages are sent to Anthropic to produce a reply. We keep the recent conversation for up to two days so the replies make sense. If you tell the assistant you would like us to get in touch and give your name and business details, we save those details and email them to us so that Ben can follow up personally. We use this because you asked us to contact you (consent) and because it is in our legitimate interests to answer enquiries. Messages also pass through Meta (WhatsApp) under Meta's own terms and privacy policy.

Phone calls to our demo numbers. Calls to our demo lines are answered by an AI voice assistant. Calls may be recorded and transcribed by our voice platform so that the demo works and so we can improve it. Please do not share sensitive information on a demo call. If a call is missed we may send you one text message to say sorry we missed you.

Emails. If you email us we keep the messages in our business mailbox (Zoho Mail).

Our website. We do not use advertising or analytics cookies. The site loads fonts from Google, which means your IP address is sent to Google when a page loads. Our hosting provider (Cloudflare) keeps standard security and performance logs.

Who we share it with

We use trusted service providers who handle data on our behalf and only for the purposes above: Meta (WhatsApp), Anthropic (AI replies), Cloudflare (website and WhatsApp assistant hosting), Google (Sheets, Apps Script and Fonts), Web3Forms (contact form), Zoho (email), Vapi (AI voice calls) and Telnyx (phone numbers and text messages). We do not sell your information and we do not use it for advertising.

Some of these providers are based in the United States or elsewhere outside the UK. Where that happens we rely on the safeguards those providers offer for transfers of UK personal data, such as approved standard contract terms.

How long we keep it

Your rights and how to delete your data

You can ask us to show you the data we hold about you, correct it, delete it, restrict how we use it, or object to our using it. You can also ask for a copy of it in a portable format. To do any of these, email [email protected] from the address or WhatsApp number you used (or tell us which number you messaged from) and we will respond within 30 days. If you want us to stop messaging you on WhatsApp at any time, just tell the assistant to stop, or reply "stop".

To have your data deleted, email [email protected] with the phone number or email address you used. We will delete it from our systems and confirm by reply.

If you are not happy with how we have handled your information you can complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put things right first.

AI and automated replies

The WhatsApp assistant and the phone assistants are automated and will say so. They do not make decisions that have legal or similarly significant effects on you. You can ask to speak to a person at any time and Ben will follow up personally.

Children

Our services are for businesses and we do not knowingly collect information from children.

Changes to this policy

If we change how we use personal information we will update this page and the date at the top.
